What personal data do we process?

Depending on how you use our website, online shop and services, we may process the following personal data:

Purposes and legal basis for processing

E-commerce software, hosting and technical management

Our online shop runs on WooCommerce. For hosting, maintenance, technical management and support, we use external service providers, including those involved in our website infrastructure and technical support.

These parties may have access to personal data to the extent necessary to carry out their work for De Groene Linde. They are not permitted to use this personal data for their own purposes.

Agreements have been made with our technical service providers regarding security, confidentiality and the processing of personal data. Appropriate technical and organisational measures are in place to prevent loss, misuse and unauthorised access as far as possible. These include secure connections, access restrictions, password policies and backups.

WebwinkelKeur

We collect reviews via the WebwinkelKeur platform. When you leave a review via WebwinkelKeur, you may be asked to provide your name, place of residence and email address. WebwinkelKeur shares this information with us so that we can link the review to an order. WebwinkelKeur may also publish your name and place of residence on its own website.

In some cases, WebwinkelKeur may contact you to ask for further details about your review.

When we invite you to leave a review, we share your name and email address with WebwinkelKeur. This information is used solely to send you an invitation to leave a review on our behalf.

WebwinkelKeur has implemented appropriate technical and organisational measures to protect personal data. In addition, WebwinkelKeur may use carefully selected sub-processors to carry out its services. Agreements have been made with WebwinkelKeur regarding the security and processing of personal data. These agreements also apply to any sub-processors engaged by WebwinkelKeur.

Email and newsletters

We use Microsoft 365 for our day-to-day email communications. This environment is managed by Bit & Bytes. When you contact us by email or fill in a form on our website, the personal data you provide is processed within this environment.

We use MailBlue to send out newsletters and email campaigns.

When you subscribe to our newsletter, your name and email address will be stored in MailBlue for the purpose of sending newsletters, updates and other communications for which you have given your consent.

At the bottom of every newsletter, you will find an unsubscribe link. If you unsubscribe, you will no longer receive newsletters from us.

MailBlue collects statistics on email usage, such as newsletter opens and link clicks. This data helps us to better tailor our communications, services and content to our customers’ interests.

Agreements have been made with our service providers regarding security, confidentiality and the processing of personal data. They are not permitted to use your data for their own purposes.

Payment transactions

We use various payment and banking services to process payments in our online shop and showroom, including MultiSafepay, ING Bank, PayPal and Worldline.

When you make a payment, the data required to process the payment will be shared with your chosen payment service provider. Depending on the payment method selected, this may include your name, address details, email address, payment details, billing details and order details.

These parties process personal data for the purposes of processing and verifying payments, preventing fraud, complying with legal obligations and ensuring that transactions are processed securely.

We only receive from these service providers the data necessary to process your payment, fulfil your order, provide customer service and maintain our records.

Agreements have been made with our payment partners regarding security, confidentiality and the processing of personal data, insofar as they act as data processors on our behalf. Where payment institutions act as data controllers in their own right, they process personal data in accordance with their own privacy policies and legal obligations.

Data relating to payments and invoices will be retained for as long as is necessary for the performance of the contract and to the extent that we are legally obliged to retain such data.

Shipping and logistics

We use QLS as our logistics partner for processing, packing and dispatching orders. In order to deliver your order, we share the information required for this purpose, such as your name, address, town or city, email address and, where applicable, telephone number.

QLS processes this data for the purposes of order processing, dispatch, track-and-trace communications and customer service relating to the delivery of your order.

Depending on the chosen delivery method, destination or availability, QLS may use different carriers to carry out the actual delivery. These carriers will only receive the information necessary to deliver your order.

Agreements have been made with QLS and the relevant logistics service providers regarding security, confidentiality and the processing of personal data. They may only use your data for the purpose of providing their logistics services and not for their own commercial purposes.

We only receive from our logistics partners the information necessary for tracking consignments, processing deliveries and providing customer service.

Invoicing and bookkeeping

We use SnelStart and the services of RSM to manage our administration and accounts. To ensure our financial records are processed correctly, we may process personal data such as your name, address, place of residence, billing details and information relating to your order.

This data is used solely for the purposes of issuing, processing and storing invoices, maintaining our financial records and complying with statutory tax obligations.

Your personal data is transmitted and stored with the utmost care and security. Agreements have been made with our administrative and financial service providers regarding the security, confidentiality and processing of personal data. They may only process this data for the purpose of providing their services to De Groene Linde and must not use it for their own purposes.

Data forming part of our financial records is retained to the extent that this is necessary for the conduct of our business and to the extent that we are legally obliged to do so.

Data collected automatically

When you visit our website, technical data may be collected automatically. This includes your IP address, browser, device, operating system, pages visited and clicking behaviour.

We use this data to ensure our website functions properly, to keep it secure, to make it more user-friendly and to improve our services.

We retain the data in your customer account for as long as your account remains active or for as long as is necessary for us to provide our services. If you request that your account be deleted, we will delete or anonymise your personal data, unless we are legally obliged to retain certain data for a longer period.

Under tax legislation, we are obliged to retain invoices and the associated administrative records for the statutory retention period.

We retain data from contact forms and email correspondence for as long as is necessary to deal with your enquiry properly and to the extent required for our customer service or business operations.

We retain newsletter data for as long as you are subscribed to our newsletter. You can unsubscribe at any time.

Review data is retained for as long as the review is relevant to our services or for as long as the review platform retains it in accordance with its own terms and conditions.

We do not retain technical and analytical data for any longer than is necessary for the analysis, security and improvement of our website.

Access to personal data

Only staff members who require personal data for their work have access to this data. They are granted access only to the extent necessary for purposes such as customer service, administration, dispatch, production, marketing or technical support.
